Ghost Orchestra

Custom AI automation for any business

AI Consulting and AI Integration for Business

Your business, conducted.

We are based in Tennessee and work with businesses here and remotely anywhere in the world. We study how your company actually runs, then build AI that plugs into the processes and tools you already use so the work that eats your week runs with less friction. We are not here to replace your people. We free them to put their time into the work only they can do.

How we work

No two businesses run the same. Neither do our builds.

Every Ghost Orchestra build starts with a personal look at how your business actually runs: who does what, where the hours go, and which tasks keep eating your team’s time. The fit is custom AI for that business, not a setup that looks the same for everyone. From there, you get two things.

Included with every build

The everyday load, built to your rules: reports, checking that numbers match, follow-ups, documents from email, and spreadsheets that stay current.

  • Reports
  • Checking that numbers match
  • Follow-ups
  • Documents from email
  • Spreadsheets that stay current

Built just for you

Custom help shaped around the tasks that cost you the most time, wired into Outlook, Excel, Google Drive, and a CRM.

How it works

We learn your business, then build for it.

  1. 01

    Listen

We study your business and your team's day-to-day to find where reports, follow-ups, and documents stall.

  2. 02

    Compose

We design and build the reports, number-checks, follow-ups, and documents for your operation only — with your rules written down.

  3. 03

    Conduct

We handle the AI integration inside the tools you already use, and we stay to tighten it. A human approves payments, signatures, and anything sent to a customer.

Proof from the founder's desk

Built in my own job first.

I didn't start Ghost Orchestra with a theory. I started it after I watched AI take over the paperwork side of my own job: checking paperwork before we pay, turning email threads into finished documents, chasing quotes that would have slipped through the cracks, and keeping reports current every single week. I'm not a programmer. I described how I work, connected the tools I already had, and kept tightening the rules. Now I help other businesses do the same thing, starting with the task they hate most.
David Wakefield, Founder, Ghost Orchestra

These are the founder's own operations at a vehicle dealership — not client results. A human still approves payments, signatures, and customer sends.

  • Weekly

A weekly meeting briefing that's ready before the call

    The hard part

Getting ready for a recurring meeting meant digging through email and spreadsheets at the last minute.

    What changes

A short briefing is ready before the call — what needs a decision, what's active, and what's still open — plus a phone alert with the top few items to cover.

  • As needed

A clean status update you can share with a partner without exposing private notes

    The hard part

Partners need a status update, but the internal list has notes they shouldn't see.

    What changes

An internal list stays detailed for the team, and a cleaned version goes out with private notes removed.

  • Before payment

Paperwork checked before any money goes out

    The hard part

Paying before anyone noticed the paperwork didn't line up.

    What changes

Before money moves, the paperwork is checked against itself. Problems are flagged, and a draft note is written for a person to send. Nothing is paid until someone says so.

  • Ongoing

Deal lists that stay current from email

    The hard part

The real list of deals lived in the inbox, so the spreadsheet was always behind.

    What changes

Email keeps a living spreadsheet of open deals and quotes current — without inventing numbers or making duplicate rows.

Built for your industry

What this looks like in your business

Same kind of help — reports, checking that numbers match, follow-ups, documents from email, spreadsheets that stay current — shaped to how you work. These are examples of what we can build, not client results.

  • Contractors & trades

Job follow-ups that do not slip; material quotes chased for you; a weekly status report pulled from email and spreadsheets.

  • Property management

Maintenance requests that stay on a list; owner reports that put themselves together; a chase list for open work orders.

  • Medical & dental

Referral follow-ups; insurance paperwork queues; a simple daily digest from the inbox and sheets you already use.

  • Law & accounting

Deadline lists; intake papers built from email; a check that the numbers match before anything goes to a client.

  • Retail & inventory

Stock reports with photo or location links; reorder chase lists; receiving checked against the invoice.

  • Farms & agriculture

Load and delivery lists; seasonal purchase checks; vendor follow-ups on a schedule.

  • Trucking & logistics

Rate tables collected from email; pickup and delivery status reports (one for you, one safe for the customer); flags when something looks off.

  • Restaurants

Vendor invoices checked; catering follow-ups; a weekly ops digest from the tools you already use.

If you also want after-hours answering or a simple site chat, that can be part of a build — as one piece among the operational work, not the whole product.

Your tools

Tools you already use.

Outlook, Excel, Google Drive, and a CRM. The work stays in the tools you already use.

Why Ghost Orchestra

Quiet work. Clear control.

  • Invisible

Works in the background inside Outlook, Excel, Google Drive, and a CRM.

  • Reliable

A human approves payments, signatures, and anything sent to a customer.

  • Built for small teams

Custom builds for how you already operate. No enterprise contract or IT department required.

  • A 60-day warranty is included.
  • You pay running costs to the providers directly. We don't mark them up.
  • Not offered to teams over 80 people yet.

In return, we measure where you start, share results only with your written OK, and ask for a reference call and a short feedback chat.

How paying works

1. Free first call. We talk through your work. No cost.

2. A close look at your business ($750). Paid up front. If you go ahead with the build within 30 days, the full $750 counts toward it.

3. Half to start. You pay half the build price and we get to work.

4. Try it for 14 days. You use it in your real work. If anything doesn't work the way we promised, we fix it at no charge.

5. Then you decide. If you're happy, you pay the rest. If it's close, we get one more week to make it right. If you're not happy, you don't pay the rest, and we take it down. The first half covers the work we've already done, so it isn't refunded.

6. Ongoing fixes. Once you've paid in full, we keep fixing anything that breaks for 60 days at no charge.

The software it runs on is billed to you at cost, with no markup. You can pay by card or bank transfer. No long contract.

Tell us a little about your day

We'd like to learn how your business really runs: what takes up your time at the computer, and where an extra pair of hands would help. We're not here to replace anyone. We build custom tools that help your people get through the busy work with AI as an assistant. The first step is a 30-minute call, and this just helps us come to the call prepared.
