Ghost Orchestra

Proof from the founder's desk

Built in my own job first.

I didn't start Ghost Orchestra with a theory. I started it after I watched AI take over the paperwork side of my own job: checking paperwork before we pay, turning email threads into finished documents, chasing quotes that would have slipped through the cracks, and keeping reports current every single week. I'm not a programmer. I described how I work, connected the tools I already had, and kept tightening the rules. Now I help other businesses do the same thing, starting with the task they hate most.

David Wakefield, Founder, Ghost Orchestra

These are the founder's own operations at a vehicle dealership — not client results. A human still approves payments, signatures, and customer sends.

Weekly

A weekly meeting briefing that's ready before the call

The hard part

Getting ready for a recurring meeting meant digging through email and spreadsheets at the last minute.

What changes

A short briefing is ready before the call — what needs a decision, what's active, and what's still open — plus a phone alert with the top few items to cover.

As needed

A clean status update you can share with a partner without exposing private notes

The hard part

Partners need a status update, but the internal list has notes they shouldn't see.

What changes

An internal list stays detailed for the team, and a cleaned version goes out with private notes removed.

The founder's own operation

What I automated in my own job

  • Reporting

Recurring reports that put themselves together from the tools you already use.

  • Number-checks before payment

Paperwork checked before any money goes out. Problems are flagged for a person.

  • Follow-ups

Quotes and open requests that get followed up automatically so nothing slips.

  • Documents from email

Email threads turned into finished documents for a person to review and send.

  • Keeping spreadsheets current

Lists and spreadsheets that update from email instead of falling behind.

  • Clean updates for partners

Status updates you can share without exposing private internal notes.

  • Meeting briefings

A short briefing ready before a recurring call, with the top items called out.

  • Marketing help

Lists, simple campaigns, and local search help when there isn't a marketing department.

What makes these work

Six rules.

  1. 01

    Start with the dreaded task.

  2. 02

Use the tools you already have.

Outlook, Excel, Google Drive, a CRM.

  3. 03

    Write the rules down once.

  4. 04

    Never let it guess.

  5. 05

    Flag, don't fix.

Draft the email for a person to send.

  6. 06

    Put it on a schedule.
